About Us

I am your "on-site Personal Assistant" making sure that your event goes as you have planned it. Whether its a clambake, cocktail party, concert, wedding, corporate meeting, retreat or anything in between, I'm here to help you. Advanced Group Reservations

Whether you are coming to the Vineyard with a group or an individual needing lodging for an event being held here, why waste time trying to find advanced lodging. One call to Event Day Coordination & Group Reservations will take care of everything. For Your Information: most of the lodging establishments require a two or three night minimum stay (in-season). They also require full payment for reservations up to three nights at the time the reservation is made. Reservations for four plus nights, the deposit is one-half the total stay with the balance due on arrival. The state and local taxes on all rooms equals 9.7%. Credit cards are the preferred payment method, but most will take checks as long as the check reaches the establishment within seven days of making your reservation and clears well before your arrival.

Occupancy per room is strictly enforced. IF you have a room that will sleep more than two people, there is an additional per person, per night charge for the extra people. It is very important to know, at the time you are making your reservation, how many people you would like to have in the room. Most establishments have one bed for two people in each room. Some larger rooms may be available.

Some establishments have age limitations for accepting children. Most frown on accepting pets. However, there are a few places on Island to board your pet. That way Fido can enjoy an Island vacation as well.

The earlier you make your reservation in advance, the better. Rooms book up very quickly on Martha's Vineyard. That is especially true for events being held the last two weeks of July, all of August and all holidays. Booking a year in advance will insure that you get the lodging you are looking for.

Cancellation policies vary, but a rule of thumb is if you cancel between 15 to 30 days in advance, you will get a refund minus a 10% to 50% cancellation fee. If you cancel 14 days before your scheduled arrival, your deposit is non-refundable.  For groups of more than seven rooms, the cancellation policies may vary.  All rooms on Martha's Vineyard are non-smoking. Check in/check out times vary, but rule of thumb is check in after 3 p.m. and check out at 11 a.m.

If you would prefer to rent a house, most people rent their houses from Saturday to Saturday or Sunday to Sunday and by the week only, during the summer season. A few people will rent their houses for less than a week in the off season. In some cases, it is more cost effective to pay for the house for the week even if you are only planning to stay for four days.

I have connections with some great house rentals. One of the properties is great for having your wedding or corporate meetings at. Nice private location, one mile from the beach and it has 10 bedrooms. 

If your group is five or more people, renting a three bedroom house sometimes works out to be less expensive than getting a similar amount of rooms at a hotel/inn. However, with a house rental, you must supply your own linens. There is a linen rental service on the Island that will allow you to order online. They will drop off and pick up for your convenience.

For corporate reservations that the company is paying for the lodging, it is best to have one person call me with all of the payment information and the names and number of people in each room.

For weddings or other events that the guests are paying for their own reservations, I can arrange for a block of rooms at a specified hotel or any hotel that fits the guests specifications. It is best for the bride/groom to give out my phone number and I will make their guests reservations individually. That way, I have all of their pertinent information that the lodging establishment will need including payment method.  I will then be able to give the bride a full report of where the guests are staying.

Event Day Coordination

  • One/two in-person meetings, approximately one week prior to event, to discuss event details, timeline, vendors, responsibilities and expectations

Wedding Day Coordination

  • All of above, plus:
  • Vendor visits
  • Wedding rehearsal coordination - entire wedding party should attend to be sure everyone is on the same page and aware of where they need to be and what they need to do
  • Wedding day coordination - include all responsibilities and expectations discussed previously
  • Coordinate reception activities, i.e., dances, bouquet toss, etc. 
  • Keeping and eye on the timeline of the day to keep things moving

Pricing

  • Prices are charged at a flat rate, which includes the rehearsal (who walks where, when and how) and the wedding day coordination
  • A la carte services, charged by the job, are available: gift bag assembly/delivery, vendor referrals, pick up favors from vendor, etc. No job too big or too small 
  • If you require consulting services before your event beyond the agreed upon flat rate package, an hourly rate will apply
  • One half of flat rate due upon signing the contract and the other half due 30 days prior to event
  • If event is to be held in less than 30 days, total flat rate is due upon signing of the contract

Concierge Services

  •  You are getting married and you need an address to send the gift bags, etc.,  for your attendants or guests and then to have them delivered to the hotel(s)/rental houses they are staying in.
  • You want to surprise the newlyweds with a bottle of champagne, flowers, chocolates, etc, at their hotel/rental house after the wedding or on their Martha's Vineyard honeymoon.
  • You are renting a house on the Vineyard and would like to have foodstuffs for the first couple of days in the fridge waiting for your arrival. Maybe you would like to walk into your rental to a bottle of chilled champagne, flowers, etc.

My concierge services include, but are not limited to the above. Pricing is hourly or flat rate with a one hour minimum.  i.e., groceries, plus hourly or flat rate.

Welcome Bag/Basket Assembly/Delivery

Don't spend your wedding week putting together the 'Welcome Bags/Baskets' for your guests. I will order the items, assemble and deliver your bags to the hotels or rental homes for you. One less thing for you to think about before the big day.

With enough lead time, 'private label' 8 oz or 16 oz water bottles, candy bars, etc., can be  ordered.

Video Conferencing

  • You are on Martha's Vineyard or Nantucket, they are anywhere in the world!
  • Need to connect from here to there for an event, wedding, business meeting, speaking engagement, job recruitment, training, distance learning, medical consulting, networking, executive coaching, board meetings, research, legal depositions, real estate negotiations, sales presentations, etc.

Notary Public

  • Services include signature witnessings for real estate transactions, documents, etc, oaths and affirmations,  issuances of summons for witnesses, witnessings of bank safe, vault or box openings

 Island Tours

If your group is coming over to Marha's Vineyard on a bus or a van and you are looking for a 'step-on tour guide' to show you the Island, I would be happy to conduct a customized tour for your group which can include lunch and some shopping.

No vehicle - no problem! I partner with Martha's Vineyard Transport and Tours. They have 15 passenger vans or larger vehicles if your group requires it. Smaller groups can tour in a car or SUV.

If buses and vans are not your style, I'd be happy to give you a customized bike tour. There are miles and miles of bike paths on the Island. We can even stop and smell the roses.

Maybe you would enjoy a walking tour. It's your tour, your choice.
